New Features

 

Overbooked Flights in Events & Group Bookings

SAM has been enhanced to allow users to add overbooked transports to both Group Bookings and Events when flights are configured to allow overbooking.

Previously, a transport needed to have available seats before it could be included in a Group Booking or Event. With this update, even transports that are already overbooked can now be held in these bookings, providing greater flexibility in managing large groups and event-related travel.

This improvement helps ensure that bookings can be coordinated more effectively, even in cases where transport availability is limited.

Profile connectivity between Workflow and SAM

We have introduced a hyperlink on the profile ID number in Workflow, allowing users to navigate directly to the traveller’s profile in SAM with a single click.

This enhancement improves connectivity between the two applications, streamlining access to traveller information. [Canny]

Bulk Profile Update – Field Selection

A new feature has been added to the Bulk Profile Update function in SAM. Users can now select the specific profile fields they want included before generating the download sheet. This enhancement improves efficiency when updates are only required for a small number of fields.

By eliminating the need to download all profile fields and then manually remove the unnecessary ones from the template, the update process is faster, simpler, and less prone to error. [Canny]

Move bookings from Room now follows Fill Order

The Fill Order, when configured, will now be applied whenever SAM users move bookings from a room. This ensures that room reassignments follow the predefined priority rules for filling rooms. This update applies in two areas of SAM:

  1. Bookings | Search by Room – When a user selects the “Remove from Room” option, the system will follow the configured Fill Order.
  2. Traveller Profile | Room Assignment – When checking room occupancy and selecting “Remove Others from Room,” the system will also apply the Fill Order.

By enforcing Fill Order in these scenarios, the system widens the room availability search and ensures that automatic booking movements are handled more consistently and efficiently. [Canny]

Room Lock Audit now available

SAM has been enhanced with a new Room Lock Audit feature, accessible from the SAM Audit page.

SAM Admins can now identify the total number of rooms added and removed from a lock, as well as any other edits made to the room locks in the system. SAM users can search existing room locks by entering the format [RoomLockNumber:***] to view the history of changes associated with that room lock.

This improvement increases transparency and accountability, giving both admins and users greater visibility into room lock activity. [Canny]

Improved Reporting Navigation Between SAM and Workforce Reporting

We have enhanced the integration between SAM and Workforce Reporting to improve how users access and run reports.
Previously, users often needed to manually switch between applications to generate a Workforce report. With this update, SAM users will now see SRF report tiles directly within SAM and, when selected, users with a Workforce Reporting login will be automatically navigated to Workforce Reporting to run the associated report. In addition, SAM users will be able to see if an associated SRF report is not installed, ensuring clarity on available reporting options and providing visibility into additional reports they may need to be aware of.
This improvement simplifies reporting workflows, reduces the need to manually switch between systems, and provides faster access to the right data.

Time zones and Overnight Flights in SAM

We have introduced new functionality in SAM to support time zones and overnight flights, improving the accuracy of flight scheduling and booking processes.
Feature Flag
This functionality is controlled by the parameter:

  • UseTransportDateTimeOffsets – Allows SAM to apply time zones and UTC for transport ETD and ETA.
  • Default Value: N (Disabled)

When enabled, all locations must be configured with Latitude and Longitude so SAM can determine the time zone and automatically calculate whether Daylight Savings Time (DST) applies.

Flight Schedules

  • All locations must have time zones configured before a flight schedule can be created.
  • ETD and ETA are entered in local time for departure and arrival locations.
  • Flight duration is calculated in minutes using the first “Effective From” ETD and ETA. For each schedule date, ETD remains fixed, while ETA is calculated by adding the duration, ensuring DST changes are accounted for.
  • ETD and ETA are validated to ensure they are sequential and logical.
  • Flight durations must be greater than zero minutes.

Overnight Flights

  • Flights can be created as either “Same Day” or “Next Day.”
  • Example: a flight departing Perth at 22:55 and arriving Brisbane at 05:15 (QF942) would be configured as Next Day, with the description showing arrival day (e.g., QF942 2255 PER 0515 BNE+1).
  • Multi-sector flights can include overnight sectors; however, the overall multi-sector flight must still be Same Day or Next Day.
  • SAM does not allow for multi-overnight flights or flights arriving on the previous day (such as those crossing the International Date Line).

Adhoc Bookings

  • Created using the IN transport ETA and OUT transport ETD.
  • Camp accommodation start dates are automatically derived from these transport times

Roster Bookings

  • Roster booking start dates are based on the first night on site.
  • If a flight group includes an overnight flight, the overnight sector will be used in the roster.
  • Example: if the first night on site is Monday and the roster includes a Sunday night BNE–PER overnight flight, the system will correctly assign that Sunday departure to align with the Monday start date for the accommodation arrival.

Additional Handling

  • Multi-Remove and Multi-Reschedule processes are fully supported for overnight transports, ensuring consistent handling of booking changes across schedules.
  • Group Bookings and Events functionality is also supported, ensuring that overnight transports can be seamlessly managed within these booking scenarios.

Limitations

  • Flights can only be configured as “Same Day” or “Next Day.”
  • Multi-overnight flights or previous-day arrivals are not supported.

This update provides more accurate handling of time zones, DST, and overnight travel, ensuring better alignment between flight schedules, bookings, and rosters. Improvements

 

Carrier Booking page – Failed bookings visual

The Carrier Booking page has been enhanced with a new search status option: “Only Failed Items.” This allows users to quickly filter and view only flights with failed bookings, improving visibility and making it easier to identify and resolve booking issues.

Collapse Menu Available in SAM

We have introduced the ability for SAM users to collapse the left-side navigation menu, bringing it in line with the functionality already available in Workflow. This enhancement provides users with more screen space to work with and a consistent experience across both applications.

Visibility of Locker Data

The SRF163 Arrival Departure 2 Report has been enhanced to provide visibility of locker assignments. A new report criteria, /displocknum, has been introduced. When selected, this option will display the locker number assigned to a person for their booking. This improvement gives users greater visibility into locker allocations directly within the report, supporting more efficient management of arrival and departure processes. [Canny]

Room Status Display

The Room Status page in SAM has been updated to improve usability. By default, users will now only see active room statuses when navigating to SAM | Admin | Accommodation | Room Status. A new “Include Inactive” radio button has been introduced, giving users the option to also view inactive room statuses when required. This update makes the page easier to navigate while still allowing access to inactive records when needed.

SRF180 Enhancement to report criteria

We have added a new report criteria to SRF180 Camp Usage By Contractor (Department and Employer) so users can now exclude virtual rooms from the report. [Canny]

Viewing inactive profiles via Bookings by room

SAM has been enhanced to allow users to view bookings for inactive profiles without the need to manually reactivate them. Previously, while historical bookings for inactive profiles appeared in the Bookings by Room search results, users were unable to select the profile and view booking details unless the profile was reactivated. With this update, bookings linked to inactive profiles are now fully accessible, providing greater visibility of booking history and reducing unnecessary administrative effort. [#80724]

Meal Number reporting by Camp

The SRF321 Meal Numbers Report has been enhanced to provide greater flexibility and usability. Users can now select multiple camps when generating the report. To support this, the camp name has been added as a column in the output, making it easy to filter and analyse results by camp when running multi-camp reports. This improvement streamlines reporting across multiple locations and enhances visibility into meal distribution by camp.

The SRF130 Occupancy Details

Report has been enhanced with additional data and updated column labels to provide greater clarity and insight. New columns have been added to display: Arriving shift status ResID of the occupant Arrival status (arrival or room move) Indicator for new occupants (whether the occupant is new to the camp) In addition, existing column labels have been updated for improved accuracy: Contractor → Employer Badge Number → Employee Number These enhancements provide more detailed reporting and clearer terminology, improving the usability of the SRF130 Occupancy Details Report. Adding Rooms to SAM

The Add Rooms page in SAM has been enhanced with a new Save & Add New button. This improvement allows users to save the current room entry and immediately begin adding another, streamlining the process of creating multiple room records.

SAM Suite Login Audit

We have enhanced the SAM and Workflow Audit pages to include logging of user login and logout activity. This provides greater visibility into application access and usage. In addition, the SRF294 Login Info Report has been updated to display user login and logout dates and times, offering more detailed tracking of user sessions. These improvements strengthen audit capabilities, increase accountability, and support better monitoring of system access. [Canny]

Character limit for Workflow Final Approvers

We have removed the character limit for Workflow Final approvers comments box. This improvement gives approvers the flexibility to record detailed notes, explanations, or context without worrying about character limitations. [Canny]

Transport Types Active Display Order

The display order on the Transport Types Active page in SAM has been improved. Transports are now displayed in order of their description, which aligns them with departure time order. This enhancement helps ensure that transport options are presented in a clear, logical sequence, making it easier for users to review schedules at a glance. [#81072]

Reporting on Kiosk-Initiated Requests

The SRF316 Workflow KPI Detail Report has been enhanced to include the source of each request. With this update, any workflow request initiated through the Workforce Kiosk App will now display with the source identified as “Kiosk.” This improvement provides greater visibility into request origins, making it easier to track and analyse workflows across different entry points. Workflow Bulk Update User Preference

We have enhanced the Workflow bulk update capability by added the option for users to update Workflow users in bulk by the employer field. This improvement streamlines administration by making it faster and easier to update Workflow users across multiple records that share the same employer.

Workflow New Account Document Enhancement

We’ve introduced an enhancement to the Workflow New Account document to improve efficiency and user setup. As a Final Approver, you can now assign the new Workflow user to one or more Workflow Groups directly within the account creation document before processing it. This update simplifies user onboarding by allowing group allocation at the point of approval, reducing follow-up steps and improving setup accuracy.

Multiple Camp Selection in SRF130

SRF130 Occupancy details report has been enhanced to allow users to select multiple camps in the report criteria. Previously users were only able to select a single camp or all camps. This improvement enables users to generate occupancy reports across specific sets of camps in a single run, saving time and improving efficiency.

Workforce Kiosk Email Itinerary Date Selector

The date selector within the Workforce Kiosk App has been enhanced to allow users to choose from a wider date range, both into the future and in the past, when sending itineraries via email.
This improvement enables users to capture a broader range of travel details, making it easier to send itineraries that include upcoming, recent, or past travel information as needed.

Breadcrumb Menu Added to SAM

We have introduced a breadcrumb navigation menu in SAM to improve usability and navigation.
The breadcrumb menu allows users to easily see their current location within the system and quickly navigate back to previous pages without needing to restart from the main menu. This enhancement streamlines workflow, reduces clicks, and provides a more intuitive user experience.

 

Fixes

 

Manifest Report – Duplicate Sequence Numbers Resolved

We have resolved an issue in the SRF173 Manifest Report where duplicate sequence numbers were being displayed. The report has been updated to help ensure that all overbooked passengers are now assigned sequence numbers in proper sequential order. This fix improves the accuracy and clarity of the manifest, reducing confusion and ensuring reliable reporting for passenger lists. [#81512]

Folio Reschedule with split bookings

We have fixed an issue affecting folio documents where the Requested tab did not match the Processing tab. This issue occurred with split bookings, particularly when a requester updated a split booking to a different camp. The problem has now been resolved, ensuring that the data displayed on the Requested and Processing tabs is aligned for the final approver. [#78021, 81822]
