Workflow Task Panel: Booking Date Range Displayed in Task Descriptions

V 26.08

Available from 17 August 2026

New Features

Workflow Task Panel: Booking Date Range Displayed in Task Descriptions

Workflow Task Panel descriptions for new Folio Travel and Site Travel booking documents now display the full booking date range, helping teams quickly identify the relevant travel period without opening each workflow item.

Now users can see the first booking’s travel-in and travel-out dates displayed as a clear date range (for example, 15/04/2026 – 22/04/2026) directly in Workflow Task Panel descriptions. The same date range is also included in notification emails, reports, and Excel task list exports, providing consistent visibility across workflows.

For Site Travel documents, the previously duplicated single date shown next to the traveller’s name has been removed to avoid displaying the same information twice, while day trips are presented as a same-day range (for example, 04/05/2026 – 04/05/2026).

This enhancement improves visibility, reduces the time spent opening workflow items to confirm travel dates, and makes it easier to identify and manage bookings across the platform.

Please note that this change will affect all new documents created after your Workflow upgrade to 26.08.  Any documents already in progress will not be updated to show the full date range.

Improvements

Workflow – Transport Groups Mandatory Option for Roster Requests

A new parameter called ‘TransportGroupMandatory’ has been added to Workflow Roster Request documents that allows the Transport Groups field to be configured as mandatory for requesters submitting a new Roster Request.

The enforcement is applied at the requestor step only, with approver steps not affected by the parameter. Requestors can also safely save a draft of a Roster Request document without being forced by the system to add a Transport Group.

Folio Enhancement to Room Shuffling for Bookings that Span Past/Future Dates

An enhancement has been made to Folio to ensure that any booking reschedules that occur for In Progress bookings that span past and future dates, do not allow users to request changes to any items spanning past dates.

By restricting users access to only allowing modifications to Folio items from the current date onwards, the system will no longer attempt to make room changes for the full date range of the booking (including past dates), where a split room booking or room shuffle is required.

Event Management Crew Creation – New Parameter Sets Default ‘Release Unallocated Room’ Behaviour

Customers can now control whether the “Release unallocated rooms on the work period start date” checkbox is selected by default when creating a new crew in Event Management. This is controlled by the new parameter ‘DefaultReleaseUnallocatedRoomsWithinCrewCreation’, found in SAM under Admin → Parameters, in the Accommodation category.

Setting the parameter to N leaves the checkbox unselected by default, while Y keeps it selected. The parameter is currently set to Y, so the existing behaviour remains unchanged unless it is updated. Users can still select or clear the checkbox for individual crews, and existing crews are not affected.

SAM – SMS Management: Hyperlink Person Number

The Person # column in the SMS Batch Summaries on the SMS Management page (SAM > Admin > People > SMS Management) now displays as a clickable hyperlink.

Clicking the Person # opens the corresponding SAM Profile in a new browser tab, allowing users to quickly navigate to a person’s record directly from the SMS message recipient list.

Reschedule Multiple Transports – Ability to View Last Night Shift Status

The Transport → Reschedule Multiple page for outbound flights has been improved to display the previous shift status as well as the current shift status.

This enables users to quickly identify night shift workers for early flight prioritisation without needing to open individual profiles.

Transport No Shows – Ability to Filter by Camp

A Camp filter and column have been added to the Transport No Shows screen to improve efficiency when processing no show records.

This enhancement enables SAM Administrators to filter down to their specific villages and follow up on no shows more efficiently.

Multiple Bookings – Employer Field Update

The Multiple Bookings feature now supports the ability to update the Employer field in the same manner as Cost Code and Department.

SAM Administrators can now apply bulk changes to Employer information for worker bookings selected over a nominated booking date range. Previously, only the Cost Code and Department fields were available to administrators.

SAM – Multiple Bookings Upload Improvement

The Multiple Bookings Upload functionality has been updated to allow the same profile to be processed for multiple bookings within a single upload spreadsheet.

Previously, the upload validation rejected entries where the same person appeared on more than one row, even when the bookings were for different dates.

Dashboard Quick Links Now Open in Separate Browser Tabs

Dashboard quick links have been updated to open each link in its own separate browser tab.

Previously, only the first quick link would open in a new tab, with all subsequent quick links loading in the same tab. Each quick link now correctly opens in an independent browser tab as expected.

SRF290 Event Management Report Enhancement

New columns have been added to the Raw Data tab of report SRF290, which highlight whether a confirmed booking for an event was made via SAM or Workflow, detailing the user who made the booking, along with the Workflow document number, if relevant.

This enhancement provides users with greater visibility of event booking changes, allowing users to understand all system users responsible for each change to an event, along with an understanding of what system the change was made in.

Fixes

Folio Waitlist – Alternate Transport Selection Fix

Fixed an issue where the Folio approval process would not allow an approver to change the alternate transport from the default drive record to another flight when a transport was waitlisted.

Approvers can now successfully change alternate transport options on waitlisted bookings without encountering invalid sequence errors during Folio processing.

Multiple bookings for a Single Person

Improved the multiple-booking experience when managing bookings for a single person;
• Resolved errors when selecting a new transport, opening the booking actions menu, or removing a booking.
• Improved selection handling so updates apply to the intended bookings.
• Fixed bulk updates for department and cost code across selected bookings.

SRF175 – Fixed Report Displaying Incorrect Camp for No Show Status

Resolved an issue where report SRF175 was displaying the No Show (XX) shift status against the worker’s profile camp instead of the booking camp.

The report logic has been corrected to return the booking camp associated with the accommodation record, rather than the camp assigned to the worker’s profile.

The report now accurately reflects the No Show status against the correct camp when Camp Data is included in the report output.

Workflow – Further Changes to Document Save and Submit for Requestors

Changes have been made to correct behaviour introduced in release 26.06, which was intended to improve the messaging in the Workflow Task Panel when a requestor Saves or Submits changes to a document.

These corrections now ensure that document messaging appears correctly at the requestor stage of the approval process, as originally intended, and the messaging correctly displays as “Awaiting Approval by <Approver/Approval Group>” when a document is submitted, and “Saved by <Requestor/Approver/Approval Group>” when document is saved.

Workflow Roster — Document Completion Fix

Resolved an issue where the Workflow Roster document would not successfully complete when the final approver processed a roster request involving a room with a future room owner.

SRF179 Transport Details — Reason Retained After Accommodation Arrivals Reschedule

An issue has been resolved where the Reason column in the SRF179 Transport Details report was displaying an empty value after a booking was rescheduled using No Show with Reschedule from the Accommodation Arrivals page.

The original Travel Reason is now retained during the reschedule process, ensuring the report accurately reflects the reason recorded in the corresponding Folio document.
